Onboarding Checklist
Once the Business Central connector is installed and Test Connection succeeds (see Connecting Business Central), complete these steps in order. Each one depends on the one before it.
1. Sync companies from Business Central
Run Sync to Portal from the Setup page in Business Central. This pushes your list of companies into the portal.
Companies are read-only in the portal: they are sourced from Business Central, not created or edited here. There is no delete action on the Companies tab by design, since letting an admin edit this list directly would let the portal drift out of step with the ERP. To remove a company from the portal, remove it from Business Central and run the sync again; the portal deactivates any company that is no longer present rather than deleting its history.
2. Set the default company
Open Settings > Companies and choose Set Default on whichever company most of your users should land on. Users who are not explicitly granted access to other companies (step 3) see only the default. Choose deliberately: changing the default later does not retroactively change who can already see which company.

3. Grant each user access to their companies
For every user who needs to work in more than the default company, open their record under Settings > Users & Groups and set which companies they can access. A user with no explicit access sees the default company only.

4. Create your record types
Open Settings > Record Types and add the record types your team will raise and approve requests against.

5. Set up field configuration
For each record type, configure which fields show in the portal, which are required, and how they behave (validation, lookups, duplicate matching). This is done from the Entity Registry inside Business Central and mirrors what a user will see when they raise a request. See Field Configuration.
6. Push record types from Business Central
Back in Business Central, use Push This Entity Now (or Push All Enabled) on the Entity Registry to send your configured record types' data into the portal.
7. Push field configuration from Business Central
Choose Sync Field Configuration on the Setup page in Business Central. Field configuration is not pushed automatically: whenever you change it, come back and sync again before you expect users to see the update.
Once these seven steps are complete, the tenant is ready for day-to-day use. From here, move on to Designing Workflows to decide how requests actually get routed and approved.
