Admin Guide
This guide is for administrators of an Elevate Approvals tenant. It walks through the tasks that only the Admin role can perform: setting up users and groups, designing record types and workflows, connecting Business Central, and configuring notifications, webhooks and personalisation.
If you have not yet been given the Admin role, ask the person who first set up your tenant. The first user added during onboarding is always given Admin.
Signing in
- Browse to your tenant's portal address.
- Choose Sign in and complete Microsoft sign-in with your work account.
- The first time you sign in, your account is matched to a user record by your work email or your Entra object id. If neither matches, you will see a message that your account has not been provisioned. In that case ask another administrator to add you.
Your role is read on every request, which means a role change in the admin UI takes effect on your next page load. You do not have to sign out and back in.
Settings overview
Open Admin > Settings from the sidebar. The settings page is organised into tabs, each documented in its own page. If you are setting up a new tenant or company for the first time, start with the Onboarding Checklist instead: it puts these tabs in the order you actually need them.
| Tab | What it controls |
|---|---|
| Record Types | The forms users fill in. Each record type has its own field list, layout and workflow. |
| Users & Groups | The directory of approvers, requestors and other admins, plus approval groups. |
| ERP Connection | Endpoint and authentication used to talk to Business Central. |
| The mail server used for outbound notifications. | |
| Notifications | Tenant-wide defaults for which events trigger emails, portal alerts or Microsoft Teams messages. |
| Webhooks | Outbound HTTP subscriptions for integrations and third-party automation. |
| Companies | The list of legal entities inside your tenant when you run multi-company. |
| Personalisation | Branding, logo, colours, and tenant-wide labels. |
Designing workflows
Workflows live under Admin > Workflows rather than the Settings tabs. See Designing Workflows for the full guide covering lifecycle, step types and per-company cloning.
Tips and good practice
- Subscribe at least one webhook to a low-traffic test endpoint when first turning automation on. Watch deliveries succeed before you build downstream logic on top.
- Keep approval groups small. Groups with very large memberships make Group All steps brittle.
Where to get help
- The dashboard contains a contextual help link on every screen that takes you back to this site.
- For platform issues, contact Equerra Support at the address in your service agreement.
