Bulk-assigning Primary Collection

Primary Collection is set one Style and Colour at a time from the Item Card, which does not scale when a large catalogue has thousands of colourways tagged into more than one Collection. The Primary Collection Worklist is a reviewable table for making that decision across many colourways at once, editable directly or through an Excel round trip.

Opening the worklist​

  • For the whole catalogue: open Apparel PIM Setup and run Primary Collection Worklist.
  • Scoped to one Collection: open that Collection's card and run Bulk Set Primary Collection. Only the Style and Colour combinations tagged into that Collection appear.

What the worklist shows​

One row per Style and Colour combination that is tagged into at least one Collection, not one row per SKU, since every Size under the same colourway shares one Primary Collection. Each row shows:

  • Every Collection that colourway is tagged into.
  • Its current Primary Collection, blank if none has been set yet.
  • A new primary choice you can edit directly.

To save you reviewing colourways that have nothing to decide, the new-primary choice starts pre-filled:

  • Tagged into exactly one Collection with no primary yet: pre-filled with that Collection, since there is nothing to choose.
  • Tagged into two or more Collections with no primary yet: left blank, since this genuinely needs a decision.
  • Already has a primary: pre-filled with the existing one, so leaving it alone changes nothing.

Reopening the worklist or running Refresh always updates the tagged-Collections and current-primary columns to the latest data, but never overwrites a choice you have already made and not yet applied.

Editing in bulk​

Change the new-primary choice directly in the grid for a handful of rows, or for a large batch:

  1. Run Export to Excel to download the worklist as a spreadsheet.
  2. Fill in the new-primary column offline.
  3. Run Import from Excel and select the edited file. Rows are matched back by Style and Colour; a value that is not actually tagged to that row is rejected and explained in the row's Result column rather than silently accepted.

A new-primary choice can only ever be a Collection already tagged to that row's Style and Colour, whether typed in the grid or brought in from Excel, matching the same rule as the single-SKU Item Card action.

Applying the changes​

Run Apply. Only rows whose new-primary choice differs from the current primary are changed; rows left alone are skipped. Each row's outcome is recorded, so if one row fails (for example, someone else removed that tag in the meantime), the rest of the batch still goes through. Run Clear Processed afterward to tidy the worklist down to whatever still needs a decision.
